Who we are. KitLoop is a trading name of JADTHENA LIMITED, a company registered in England and Wales (number 16232930), registered office Suite A, 82 James Carter Road, Mildenhall, Bury St. Edmunds, England, IP28 7DE. What we collect, why, and our legal basis

• Orders — your name, email address, phone number, delivery address, what you bought and whether payment went through. We use it to take payment, post your order, send your order emails and handle returns. Legal basis: performing our contract with you. We keep order and accounting records for 6 years after the end of the financial year they relate to, because tax law requires it (legal obligation).
• Card payments — made on Stripe’s secure checkout. Your card details go to Stripe and never reach us; we receive the payment result and the contact and delivery details you enter there.
• Emails about new kit — if you buy from us, we may email you now and then about similar kit (the “soft opt-in” allowed by the Privacy and Electronic Communications Regulations). You can say no on the basket page before you pay (“Don’t email me”), and every email has a one-click unsubscribe. Legal basis: our legitimate interest in telling past customers about similar stock. If you unsubscribe we keep only your email address on a do-not-email list, so we never email you again.
• Sell-to-us and reserve requests — the details you type into those forms, used to reply to you about that kit. Legal basis: steps you asked us to take before a possible contract. We keep them while we deal with your request, review them every year and delete any we no longer need.
• Website statistics — we count page visits with Umami, which we host ourselves. It uses no cookies and does not build a profile of you; it records things like the page, the referring site and the type of device. Legal basis: our legitimate interest in knowing which pages work.

Cookies

• Basket (kl_basket) — remembers what’s in your basket for 7 days. Strictly necessary.
• Language — remembers the language you chose on the site, if you chose one.
• Staff login — only for the people who run the shop.

No advertising or cross-site tracking cookies.

Who we share it with

We never sell your information. We share it only with the services that run the shop for us, each for the purpose shown:

• Stripe — card payments, fraud checks and refunds.
• Amazon Web Services (Simple Email Service, EU region) — sends our order and new-kit emails.
• Anthropic — if you read our site in a language other than English, your order emails are translated automatically before they are sent.
• Telegram — new orders (your name, delivery address and what you bought) are sent to the shop’s private alert channel so we can pack them quickly.
• Parcel2Go and the delivery company — your name and address, to post your parcel.
• Hetzner Online (Germany) — hosts the server the shop runs on.

Some of these providers are based in, or may handle data in, the United States. Where they do, the transfer is covered by the safeguards UK data protection law requires, such as UK adequacy regulations or the standard contract clauses the provider signs.

Your rights

You can ask for a copy of what we hold about you, ask us to correct it, delete it (where we don’t have to keep it by law), restrict or object to how we use it, or receive it in a portable form. You can object to marketing at any time and we will stop. Email kitloop@olijammedia.co.uk; we reply within one month. We don’t make decisions about you by automated means.
